Service Description
MatterGuardian is a matter visibility and workflow tracking tool designed for law firms. MatterGuardian is NOT a case management system, document management system, or legal practice management system. It is intended to be used alongside your existing case management software to provide supplemental visibility into matter progress and team performance.
Data Ownership
All data entered into MatterGuardian by you or your authorized users remains your property. The data is stored in your firm’s account and is not accessed, reviewed, or used by Wormhole Solutions LLC (“we,” “us”) except as necessary to provide the service, troubleshoot issues at your request, or comply with legal obligations. We do not claim ownership of your data.
Data Handling on Cancellation
Upon cancellation of your subscription, your data will be retained for thirty (30) days to allow for reactivation or export. After thirty (30) days, all data associated with your account will be permanently and irreversibly deleted from our systems. If you require a data export before deletion, contact us at hello@matterguardian.com within the 30-day retention period.
No Legal Advice
MatterGuardian does not provide legal advice. The workflows, stages, steps, and status indicators within the platform are operational management tools and do not constitute legal guidance. You are solely responsible for the legal accuracy of your workflows and for ensuring that your use of MatterGuardian complies with all applicable laws, rules of professional conduct, and ethical obligations imposed by your jurisdiction’s bar association or regulatory authority.
Client Portal Access Control
MatterGuardian includes a Client Portal feature that allows you to share matter progress information with your clients via access links (“Magic Links”). You are solely responsible for controlling the distribution of these links and ensuring they are shared only with authorized individuals. You acknowledge that anyone in possession of a Magic Link may be able to view the matter progress information displayed on the portal. MatterGuardian is not responsible for unauthorized access resulting from the forwarding, sharing, or mishandling of Magic Links by you, your staff, or your clients.
Data Security
We employ industry-standard security measures to protect your data, including encryption in transit (TLS/SSL), encryption at rest, and access controls. However, no method of electronic storage or transmission is 100% secure. While we strive to protect your data, we cannot guarantee absolute security. You acknowledge and accept this inherent risk.
Third-Party Data Sharing
We do not sell, rent, or share your data with third parties for their marketing or commercial purposes. We do not use your data to train artificial intelligence models. Your data remains in your firm’s account. Third-party service providers (such as our hosting and email delivery providers) may process data solely as necessary to operate the MatterGuardian platform, and such providers are bound by confidentiality obligations.
Limitation of Liability
MatterGuardian is a workflow tracking and visibility tool. We are not responsible for missed deadlines, malpractice claims, client disputes, or any legal or professional consequences arising from your use of or reliance on the platform. You remain solely responsible for managing your legal matters, meeting filing deadlines, and complying with all professional obligations.
