Privacy Policy

Information Stored in Your Account

When you use MatterGuardian, the following information is stored in your firm’s account:

  • Account information: firm name, user names, email addresses, and passwords (hashed)
  • Matter data: matter names, client names, workflow assignments, step completion status, and dates
  • Client Portal data: Names of clients who access the portal via Magic Links

This data is stored solely to operate the MatterGuardian service and is accessible only within your firm’s account. Wormhole Solutions LLC does not access, review, or use your data except as necessary to provide the service or troubleshoot issues at your request.

MatterGuardian does NOT store: legal documents, privileged communications, financial account information, Social Security numbers, or any other sensitive personal information beyond what is listed above.

How Your Data Is Used

The data stored in your account is used solely to operate the MatterGuardian service:

  • To display your matters, workflows, and team performance within the application
  • To send Daily Deadline Digest emails and system notifications
  • To enable the Client Portal for your clients

Wormhole Solutions LLC does not use your data for advertising, profiling, sale to third parties, or training of artificial intelligence models. Your data remains in your account and is not shared, aggregated, or analyzed for any purpose beyond delivering the service to your firm.

Data Retention

Data in your account is retained for the duration of your active subscription plus thirty (30) days after cancellation. After the retention period, all data associated with your account is permanently deleted from our systems.

Integration Data

If you connect MatterGuardian to a third-party case management system (e.g., Clio, PracticePanther), the data you authorize through the OAuth connection is synced into your MatterGuardian account. This data is used solely to operate the service within your account. We do not store your third-party login credentials.
